# Your Press Is Automated Is Your Planning?

---

**Jan Aleite** · November 3, 2026

It is Tuesday, 14:10. The publisher calls. Thursday's supermarket insert goes from 120,000 to 145,000 copies, and two zones now get a different version.

Your press can handle that. It has automatic plate changes and closed loop colour and register control. Your mailroom has a modern inserting line. Somewhere in the building, a robot may even be stacking pallets.

Yet the next two hours look exactly like they did in 2010. Someone updates the publishing plan. Someone else rebuilds the press schedule in a spreadsheet. The mailroom hears about it at shift change. Paper and plates are reordered by phone. By 16:30, everyone has the right numbers. Probably.

That is an island of automation. Every machine is fast. The plan between them is slow.

## The industry is automating fast

This week the print industry meets at FLOW 2026 at Probo Print in Bad Hersfeld, which organiser Inkish bills as the first trade show dedicated entirely to software, automation and robotics for printers. One of the talks carries a title that sums up the challenge: "Stop Building Islands of Automation".

The examples from recent weeks are impressive. Weser-Kurier in Bremen has moved newspaper page production into the browser. Around 80 percent of the pages in its regional and local editions are now laid out automatically, as WAN-IFRA reports. CH Media has completed Commander CT upgrades with Koenig & Bauer and introduced a new Ferag finishing line in parallel. Horizon and Unchained Robotics have partnered on automated palletizing for print finishing.

Each of these projects makes one step faster. The question for you is what happens between the steps.

## Where your time really goes

In newspaper and commercial printing plants, the expensive minutes are seldom spent on the press. They are spent in the handovers:

- from the publisher's plan to production planning
- from production planning to press, plates and paper
- from the press to the mailroom, inserts and distribution
- from the finished job to invoicing and post calculation

Every handover that runs on email, phone calls or copied spreadsheets adds delay and a chance for error. Faster machines make the gap more visible, because the machine stands ready and waits for information.

## The missing layer is planning

Automation pays off when every system works from the same plan. That is the job of a Print MIS: one place where the publishing calendar, products, editions, zones, inserts, paper, plates and shifts are defined once and passed on to every system that needs them.

Back to Tuesday. In a connected plant, the publisher changes the insert quantity in the publishing calendar. Production planning recalculates paper and plates, the mailroom sees the new zone split, and the job's cost is updated for post calculation. Nobody types the same number twice.

That is the difference between automating your machines and automating your operation.

## Three questions before your next automation investment

- **Where does the data come from?** A new press or robot runs on job data. If that data is typed in by hand, you have bought a fast machine with a slow input.
- **Where does the data go?** Make sure actual quantities, waste and run times flow back into planning and post calculation, so you see what each job really cost.
- **Who owns the plan?** One shared version of the truth for publisher, prepress, press and mailroom saves more time than any single machine upgrade.

## How Print365 connects the islands

Print365 is a Print MIS built for newspaper and commercial printing. It brings the publishing calendar, production planning, mailroom and post calculation together in one system and connects to the prepress, press and finishing equipment you already run. Your existing machines stay as they are. They simply start working from the same plan. 20+ printing plants use Print365 to plan their production every day.

## Frequently asked questions

### What is an island of automation in printing?

An island of automation is a machine or process step that is highly automated on its own, while the data exchange with the steps before and after it is manual. The step itself runs fast, and the time is lost in the handovers.

### What connects the publishing plan to the press and mailroom?

A Print MIS does. It holds the plan for editions, zones, inserts, paper and plates and passes that data on to prepress, press and mailroom systems. A change made once reaches every step.

### Can I keep my existing systems when I introduce a Print MIS?

Yes. Your prepress, press and mailroom systems stay in place. The Print MIS connects them, so each keeps doing what it does best while working from one shared plan.

### How do I measure the return on workflow automation?

Start with today's handovers. Count how often a job is retyped, how long a quantity change takes to reach the mailroom, and how much waste comes from wrong information. Those numbers are your baseline.

## Your next step

Pick one recent Tuesday and count how many people touched the same number before the job went to press. Then book 30 minutes with us. We will map that day together and show you where a connected plan saves you the most time.
